Privacy Policy

1. Information We Collect

We collect the following information when you use our service:

• Account information — your name (in English and Japanese) and email address.
• Profile information — an optional profile photo and your preferred language.
• Lesson information — your bookings, lesson history and attendance, and the feedback your instructor records, including vocabulary, phrases and notes.
• Payment information — when you buy lesson points, payment is processed by Stripe. We do not store your full card number; we keep a record of each transaction (plan, amount, date and points).
• Communications — emails we send you and any messages you send us.
• Technical data — limited log and device data, and the authentication cookie that keeps you signed in.

2. How We Use Your Information

We use your information for the following purposes:

• To create and manage your account and to sign you in securely using one-time email codes.
• To schedule, deliver and manage your lessons, including generating Google Meet links.
• To process payments and manage your lesson-point balance.
• To send transactional emails — login codes, booking confirmations, reminders, lesson feedback and cancellations.
• To provide customer support and respond to your enquiries.
• To maintain, secure and improve the service, and to comply with our legal obligations.
• We do not sell your personal information, and we do not use it for unrelated advertising.

3. Service Providers We Share Data With

We share only the information necessary with trusted providers who process it on our behalf:

• Stripe — payment processing.
• Google (Google Meet / Google Calendar) — hosting your online lessons and creating meeting links.
• Resend — sending transactional emails.
• UploadThing — storing any profile photo you upload.
• Convex — our application database and backend infrastructure.
• Our website hosting provider — serving the website.

4. International Data Transfers

Some of our providers are located outside Japan, including in the United States. Your information may therefore be transferred to and processed in other countries. We take reasonable steps to ensure it remains appropriately protected.

5. Cookies

We use essential cookies only — to keep you signed in and to remember your language preference. We do not use advertising or third-party tracking cookies.

6. Data Retention

We keep your personal information for as long as your account is active and as needed to provide the service. Transaction and accounting records may be kept longer where required by law. You may request deletion as described below.

7. Security

We use reasonable, industry-standard measures — including encryption in transit, access controls and passwordless authentication — to protect your information. No method of transmission or storage is completely secure, but we work to keep your data safe.

8. Your Rights

You may request to access, correct, update or delete your personal information, or ask us to stop using it, by emailing luke@tutorluke.com. We will respond within a reasonable period in accordance with Japan’s Act on the Protection of Personal Information (APPI) and other applicable law.

9. Children’s Privacy

Our service is intended for adult learners. If a minor uses the service, it must be with the consent and supervision of a parent or guardian, who accepts this policy and our Terms of Service on their behalf.

10. Changes to This Policy

We may update this policy from time to time. Material changes will be posted on this page with a revised “last updated” date.
